How to Install the Rerun Campaign in G5

The process for adding a campaign to G5 follows these steps:

  1. Create all participant statuses that the campaign will use.
  2. Add the Activity Plans the campaign will use.
  3. Add the Opportunity Template the campaign will use.
  4. Create the workflow and add the participant statuses to it.
  5. Add the Workflow Actions to each stage of the workflow; and set up the Next Available Status at the same time.

The following sections will detail what specific items you need to add in each of these steps for this campaign.

Create all participant statuses that the campaign will use.

The first step in creating a new campaign is to create the participant statuses for it. The ones for this campaign are listed below. The numbers included in each Participant Status are important for keeping each status in the proper order for the campaign.

Steps with the same number in one campaign represent the branching paths households can be sent along in the campaign.

These are statuses you need for the Rerun Campaign. Create them now.

  • 00 Rerun Planning
  • 01 Rerun Send the Promotion
  • 02 Rerun First Wave of Non-Respondents
  • 03 Rerun Second Wave of Non-Respondents
  • 04 Rerun Third Wave of Non-Respondents
  • 05 Rerun Final Call
  • R1 Rerun Response Sorting
  • R2 Rerun Incomplete Questionnaire
  • R3 Rerun Immediate Opportunity
  • R4 Rerun Processed and Done

Add the Activity Plans the campaign will use.

Before you can create a workflow step that uses an activity plan, you have to create that plan. The Activity Plans used by this campaign are listed below.

Create the four following Activity Plans.

Name: Campaign “Watch For It!” Calls

Icon: 16/Campaign

Steps (This uses the default creation and due date, and is assigned to the user assigned to the plan.):

  • Task: Outbound Call
    Call this person and tell them to "watch for" the questionnaire you sent them.

Name: Campaign Questionnaire Follow-up Call

Icon: 16/Campaign

Steps (This uses the default creation and due date, and is assigned to the user assigned to the plan.):

  • Task: Outbound Call
    Call this person to follow up on the questionnaire they returned.

Name: Campaign Response Thank You Letters – Pick one to Print, Cancel the Other

Icon: 16/Campaign

Steps (This uses the default creation and due date, and is assigned to the user assigned to the plan.):

  • Task: Print Document
    Thank You Without Referrals
    Attach the document of the same name from the document manager in the Rerun Campaign Folder
  • Task: Print Document
    Thank You With Referrals
    Attach the document of the same name from the document manager in the Rerun Campaign Folder

Name: Campaign Incomplete Questionnaire Follow-up

Icon: 16/Campaign

Steps (This uses the default creation and due date, and is assigned to the user assigned to the plan.):

  • Task: Outbound Call
    Call this person to get complete questionnaire information

Add the Opportunity Template the campaign will use.

This campaign also uses a unique Opportunity Template that you need to create for the campaign.

Name: Rerun

Icon: 16/Campaign

Stages:

  • Discovery at 25%
  • Proposal at 60%
  • Closing at 90%
  • Funding at 99%
  • Closed-Won at 100%
  • Closed-Lost at 0%

Create the Workflow for the campaign.

Create the new Campaign Workflow.

  1. Name it “Rerun Campaign”.
  2. Add the Participant Statuses you created above to the Campaign Workflow you created in the last step.
  3. Assign the “00 Rerun Planning” participant status as the default participant status of the Planning campaign stage.
  4. Assign the “01 Rerun Send the Promotion” participant status as the default participant status of the Progress campaign stage.
  5. Remove the default Participant Statuses that the workflow was given. Now that it has the Participant Statuses you created specifically for this campaign, the default ones are no longer needed.

Add the Workflow Actions to each stage of the workflow; and set up the Next Available Status at the same time.

This is the final step in creating the campaign workflow. You are assigning the actions to the steps they belong in, and making sure each step flows into the next one. The chart below shows each Participant Status. The second column has the actions that you need to assign to that status. The Next Available Statuses in the third column is how you tell one step what the next step is. Set these up on the indicated participant statuses.
