How to Reprint Birthday Letters After They Were Processed

How to Reprint Birthday Letters After They Were Processed

QUESTIONS THAT APPLY TO THIS TOPIC

  • I went to process the Birthday Office Procedure and after I clicked on “Process Items” it started to bring up the setup message screen.  I realized I needed to change a setting/paper for the printer so I just cancelled out of the setup message window and now I cannot bring up the list of people to print to again.
  • I was processing the Birthday Office Procedure and received an error message and was unable to print the letters.  Now when I go back to print the letters they do not show anymore.

ANSWER

  1. First you want to make sure that the reason you could not print or process the Birthday Procedures initially is finished and/or corrected.
    • If you were getting an error message, make sure that error is corrected, or you have the setting change made or the paper is now correct in the printer, etc.
  2. Once you have the reason why you canceled the procedure corrected or finished, you are then free to continue.
  3. Once you have clicked on “Cancel” or selected the option to send later before clicking on finish.  You will need to check the Message Queue to make sure the Birthday Letters did not end up there.
    • To check the message queue you go to Messaging then click on the “Message Queue” option.
  4. If they are not in the message queue, the next place to check is the Confirmation Queue. Once you have confirmed that your Birthday Letters are not in either of those locations,  you will need to set up each Birthday Letter to send individually.
    • NOTE: You can run the custom report “Individuals with Birthdays in [Date Range].rpt” to get a list of the birthdays that fall within the range you originally ran the procedures for.
  5. To send a Birthday Letter individually.
    • Go into the Finder Screen and locate the Individual you want to send the letter to.
    • Then right click on the contact and select “New Item,” “Message.”
    • Using the Send Message window, select the Birthday Letter you want to print as well as the other details for sending to the individual you wish to send the Birthday Letter to.
