How to Import New Birthday Letters and Replace Old Letters

How do I import the
New Birthday Letters
into Gorilla?

How do I change the existing Birthday Procedures Speedbuttons to include the new letters instead of the old?
ANSWER

First, ensure that everyone is signed out of Gorilla.

If you have not already done so, go to
https://clients.billgoodmarketing.com/library/alternate-birthday-letters/
.

Download the Alternate Letters Database file for your version of Gorilla.

Open the
Import Utility
on your computer.

This is usually done by clicking
Start
→Programs→
BGM Gorilla CRM for Financial Services→
Import Utility
.

When the utility opens, click the ellipses button in the top-right corner.

Browse to where you saved the New Birthday Letters import file and double-click on it.

Click
Next
until you get to the
Finish
page.
-
Click Finish.
The import process may take a few moments.

When the import is complete, click Close.

Then open your Gorilla database.

When Gorilla opens, click
Tools
→Speedbuttons
on the menu bar at the top of your screen.
-
A list of Speedbuttons will appear.
-
Find the yellow folder marked
Birthday Procedures
and click the
+
sign next to it.
-
This will expand the folder to display every Birthday Procedure Speedbutton.
-
Next, edit each Speedbutton from age 40 through 100 under both Female and Male Birthdays to switch out the old letters with the new.

To do this, click the plus sign next to the Speedbutton you want to edit

click
Setup Message Sends age _ B-day Letter.
-
Click the
Edit Command Data
button in the lower right-hand corner of your screen, this will bring up the
Setup Message to Send
screen.

Click the
Change Selected Letter
button as shown below.

The
Choose Letter
window will appear.
-
Select the new birthday letter to replace the old one.
-
Make sure you choose the appropriate letter! For example, if the old letter was
Values-Birthday-Female Age 40,
the new letter should be
Values-Birthday-New 2015-Female Age 40
.

Once you have clicked on the appropriate letter, click
Select
.

Then hit
OK
.
After you’ve clicked OK, repeat the same process with the other Speedbuttons.
Remember: you only want to edit
Female/Male B-Day Age 40
through
Female/Male B-Day Age 100
.
Note
: you do
not
have to replace every single letter if you don’t want to. If you want to use a mix of old and new birthday letters, you can certainly do so. Either way, continue editing the Speedbuttons until you’ve replaced all the old letters that you want to replace.
