How to Print a Year’s Worth of Birthday Letters



There may be times when you will need to print birthday letters for a full year, in advance. The instructions below will detail how to do this with the appropriate letter dates printed on your letter for when you are ready to actually send them.


  1. Open Gorilla and click Tools>Process Office Procedures
  2. Make sure Birthday is checked on the left side
  3. Choose your date range from the bottom left. We recommend doing this one week at a time so you can see the information on your screen as you process the letters.
    1. Keep in mind that whatever date range you enter, Gorilla will pull the birthdays for the week after
  4. Click Display Items Due and expand the window as needed to be able to see the full list
  5. Click on Process Items to bring up the first Send Message window
  6. On the Summary Screen, you can set the Message Date to the date that you would like to appear on the letter
    1. If you prefer to have the letter date as the actual birthday, you can use the Zero Date in the list of items due to set the message date.

    2. If you prefer to have the letter date a week before the birthday, you can use the Due Date as the Message Date.


  7. Go through each of the screens on the Send Message window to ensure all other settings are correct
  8. When you are back on the Summary Screen, click the Send Now radio button, and then click Finish
  9. When prompted, choose your printer, and follow the pop-ups as they come up.
  10. After each letter, you will get the Sending Confirmation message.
    1. We recommend that you choose the option for “Don’t open the Confirmation Queue, I will set the message status later."
    2. Doing this will send the message to the confirmation queue, where you can then choose the option for Send Failed and send it again from there if needed so that you don’t have to set up the letter all over again.
    3. If all letters do turn out as expected, you go to the confirmation queue and set them all as Sent Okay.
  11. Once you choose your option on the Sending Confirmation message, the next Send Message window will automatically come up for the next letter in the list. Repeat steps 6-10 until you get through the full list.
  12. After you are satisfied with all of the letters from the first batch, start back on step 1 to work on the next batch. Continue this process until you get a full year of birthday letters completed.
