Tech Talks - Reports in Gorilla®

Running Reports in Gorilla

To run any report you will begin in the Reports menu of Gorilla.  When you click on Reports you will see a list of all the Standard reports like Action To Do, Database Analysis, Weekly Statistics, etc.  At the bottom of the menu you will see the option ‘custom report’.  Choosing that will bring up the custom reports screen and allow you to pick a custom report to run.  Once you’ve chosen the report you will need to choose the options for that report like Selection Rule to run the report on, fields to include in the report, or a date range for the report. 

Reports CO should print out Daily

Today’s Updates Report

The Today’s Updates report shows History items that were added into the database during a chosen date range.

The report is grouped by Originator, with updates with no originator printing last. 

Each person on the team should review this report and verify that the updates they gave to the CO were entered in correctly. If they find any mistakes in the report, mark it up and give back to the CO.  This report should also be used to verify that The Law was followed.  All contacts, or attempted contacts, to clients and prospects should result in an updated record.  So if a staff member made 5 calls and received 7 calls that day they should have at least 12 updates listed on this report.  If they have less than 12 they should find out which contact they missed and do an update.

Action To Do

The Action To Do report shows what actions currently have Action Status as ‘Open’ in your database for each of your team members.

This should be printed every day and distributed to each staff member so they can review their schedule and use it to prioritize and organize their day.  There are several options you can choose when printing this report.  We recommend playing around with the different options until you find the look that you want.  You can also go into Gorilla Help and find a detailed description of each option. 

Reports CO should print Weekly

Weekly Stats Report

The Weekly Statistics Report assembles data that shows you how well you are using the system.  It will show you information like percentage of people on the no contact list, percentage of people missing certain bits of information, how many updates were entered in, how many messages were sent, and much more.

For a detailed description of each field on this report go to the Document Library on the Bill Good website and search for ‘stat’.  The document is called The Weekly Statistics Report for 2.1. It still applies for Gorilla 4.0.

No Contact Report

The No Contact Report shows Contact Groups that have gone over their no contact interval, typically 90 days.  This report will be used as a Calling List to get everyone off the No Contact list.

Opportunities Due

The Opportunities Due report will give you a list of all Contact Groups with opportunities coming due in the 30 days (you can change the date range).  The Sales Assistant or Advisor should receive this report and use it to call anyone listed and set appointments to discuss what to do with the money coming due.

Obviously this report does not work unless you are entering in opportunities.  If you are not entering in opportunities you will lose money.  Something will fall through the cracks.  Make sure you are finding and tracking all opportunities for both Clients and Prospects. 

Reports CO should print Monthly

Database Analysis Report

The Database Analysis Report breaks down your database for you.  It allows you to choose multiple fields and then, when run, will show you the different options within those fields and how many Contact Groups have that option selected.  For example, it will show you how many Contact Groups have Wealth 1, 2, 3, etc. selected.  It will also include how many Contact Groups are missing information in that field.

It is useful in determining groups for target marketing--for instance, in running the Monthly Drip campaign.

Database Usage Cheatsheet

The Database Usage Cheatsheet will show you what choices you currently have defined in your database for documents, Speedbuttons, Campaigns, Selection Rules, Office Procedures, user-definable fields, portraits, pictures, digitized signatures, and digitized letterhead.  You can choose to include or exclude any of these options when running the report.

This report will be useful when customizing the database to fit your office. 

Reports CO should can run as needed

Contact Groups with Deceased Individuals in Address Bundle

This report displays Contact Groups that have Deceased Individuals in their Address Bundle(s). Attempting to print a letter to these Contact Groups can result in printing errors.

Contact Groups with No Emails

This report shows any Contact Groups that do not have an email entered in.  It also displays their default phone number so you can call and get an email.

Contact Groups with No Interests, Investment Types, Investment Positions

These three reports show CGs that have nothing checked in the Interest, Investment Type, or Investment Position field.

Interest field shows the overall interests of the CG. 

Investment Type shows the types of investments the CG has expressed interest in or owns.

Investment Position shows the exact investments that the CG owns, whether the assets are in office or out.

Individuals with Birth Dates but No Birthday Office Procedures

This report displays Individuals with Birth Dates but no Birthday Office Procedure. (Does not include Individuals marked as Deceased.)

Your team should decide which Selection Rule of people you would like to send birthday letters to.  That is the Selection Rule the CO should use when running this report.  Then, anyone who shows up on this report should have the birthday wizard run unless otherwise indicated by the Advisor.

Individuals with Possible Birth Date Errors

This report displays all Individuals for whom an extreme Age is calculated. It will display any Individual who would be over 115 years old this year OR who would have a negative Age.  Does not include Individuals marked as Deceased.

Some errors will be easy to fix, a CG whose birthday is 1856 is probably 1956.  For others, call the CG and verify birthdates.  Mark up all updates on the report and give to the CO to update Gorilla.

Individuals with No Relationships

This is a new report which was covered in e-gorilla Vol. 11 No 31.  It will identify all client records with no relationship added.

Individuals Without a Birth Date

This report shows all Contact Groups who DO NOT have a Birth Date within a chosen Selection Rule.  Does not include Individuals marked as Deceased.

Someone from your office should call anyone on this list and get birthdates.  Mark all updates on the report and give report back to CO when complete.

No Source Type Book or Wealth

Shows all CG’s in the selection rule that have no source, type, book, or wealth selected.

Source shows where the Contact Group came from. (a seminar, referral, walk-in, etc.)

Type shows the overall career status of the CG.

Book measures how responsive a CG is to the Advisor’s instructions.

Wealth is an estimate of the liquid net worth of a CG. It is measured on a scale of 1 to 5, 1 being richest, 5 being poorest.

Possible Duplicate Birthday Procedures

This report searches the database for individuals with more than one Birthday Procedure. This can result in multiple birthday letters being generated for the individual.

Selection Rule Printout

This report will print out a list of all CGs in a Selection Rule.  You can choose to have it print just name and number, name address and phone number, or you can choose Full.  Choosing ‘Full’ will print out all basic information about each CG.

Selection Rule Criteria Printout

This report displays the selection criteria for all Selection Rules in the database.

The CO should use this report to clean up Selection Rules in your system.  They can look through and find Selection Rules that are duplicated or very similar.  They should also look for Selection Rules that may not be created correctly.

Speedbutton Command List

This report shows all Speedbuttons with a list of all their commands.

The CO should use this report to clean up and modify Speedbuttons.

If you would like a custom report created you should email reports@billgoodmarketing.com.  They will email you with any questions or problems regarding your report request. When a request is completed you will receive your new report via email along with instructions on how to install it.
