How to Create a Birthday Office Procedure

- How do I create a Birthday Office Procedure?
ANSWER
At the Gorilla Training Seminar, BGM runs a utility to set up a Birthday Office Procedure for each Individual in your database at that time. To set up an individual added later to receive annual Birthday Letters, run the Birthday Wizard on the Info Sheet:
Important Note: For an individual in a Contact Group who does not live at the default home address, you will need to create a new address bundle before proceeding. Example: a college student who does not live at home but is part of the Contact Group. So do that first.
- Locate the Contact Group that contains the individual.
- On the Individuals in Group list in the top section of the Info Sheet, singleclick the desired name (which simultaneously selects that individual and brings the Individual tab to the front).
- Click Birthday Wizard at the bottom middle of the screen.
- In the Wizard, on the “Select Individual” page, confirm that the intended individual is displayed and the birth date in Birthday is correct. Click Next.
- On the “Create or Select Address Bundle” page:
- IF a suitable Address Bundle already exists for this individual (for instance, if s/he is the only individual in the CG), select I want to select an Address Bundle from the Contact Group’s current Bundles. Select a Bundle on the Address Bundles pop-up that appears, and click Apply.
- Otherwise, continue with “I want to create a new Address Bundle for this individual.”
(This step creates a new Bundle automatically. It is created from the Default Address Bundle for this Contact Group. It uses everything except the Address Line. The program will automatically add the new address on the Alternate Address Bundles page of the Maintain Contact Group form.)
- After making your choice, click Next.
- On the “Select Birthday Procedure” page, mark PROCEDURE: Male Birthday or PROCEDURE: Female Birthday as appropriate on the tree view list. Click Next.
- On the “Select Staffgroup” page, click the tree view pop-up button beside the field (its icon is a football-team helmet). Select the Staffgroup that takes care of getting out the Birthday Letters in your office—probably your CO. Click Next.
- On the “Finished” page, make sure the displayed data is correct. If so, click Finish.
- Repeat for any additional individual(s) added.
Alternative
Immediately after you finish data entry, on the Finish page of the Data Entry Wizard you can click the Birthday Wizard button and continue with step 4 above.
