How to Add a System User in Gorilla

  • How do I add a System User?
  • I have a new employee that I need to put into Gorilla, how do I do that?

ANSWER

Important Note: Before you do anything, there are two things that you should never do in Team Management. 

Those are:

  • Delete a System User.
  • Replace an old employee’s information with a new employee’s information.

The only exception to these rules is when it is one of the fictional Playground System Users (sbrokerman, jsellers, jtreasure, corwell, or rhammer).

  1. First, you must add an individual to represent that user in the database.
    1. Open the finder screen and select “All” under the “Individual” folder in the left-hand column.
    2. Choose “Individual” at the top of the screen and select “New Individual.”
    3. In the screen that appears you will need to fill in at least the First Name and Last Name field.
    4. Click Add/Update.
  2. Next, go to the Tools Menu and select the Team Management Option. 
  3. In the Team Management Screen, go to the New Menu Item and select System User.
  4. This will bring up a screen with a list of the individuals in your database. Find the individual that you entered in Step 1, then click OK. The individual is now a System User.
  5. Next you need to add them to a Staff Group.
    1. Highlight the desired Staff Group on the left side. The right should display a list of System Users with checkboxes.
    2. Check the box next to the new System User’s login initials and uncheck the boxes of any System Users that no longer hold that post.
    3. (Note: It is not recommended to delete any System User if they are no longer on your team. It is better to mark them as Restricted Access and unmark them as Active.)

  6. Close out of Team Management and your new System User is now a part of the system.
