How to Create a Backup of Your Data Using the Backup Utility

  • How do I create a backup of Gorilla?

To do a backup, you must first ensure that Gorilla is closed on all workstations, then follow the instructions below.
  1. Click on the Windows Logo/OrbAll Apps/Programs, then BGM-Gorilla CRM System for Financial Services. From the list of utilities, locate and select the Backup Utility.

  2. When the Backup Utility opens click Next. You will have the option to perform a Daily Backup, or a Weekly Backup. When you perform a Daily Backup, it creates a zipped folder containing your Gorilla Database only. This does not include any of your other Gorilla data. In order to create a backup of all your Gorilla data, select Weekly Backup. This will create a backup of your Data folder in addition to your database.

  3. There are two check boxes on the bottom of this screen.
    • Manually Select Database will allow you to select the database that you wish to Backup. By leaving this box unchecked, the Backup Utility will automatically select the database used by Gorilla.
    • Zip your backup files allows you to choose whether or not you want your files to be placed in a zipped (compressed) folder.
  4. Select Next and you will see the locations that the Backup Utility is going to backup. Verify that they are the correct locations.
    • Note: If the Data or Database folder locations use a UNC type path (IE: \\computername\gorilla\database\B43.mdb), it will cause errors in the backup process. Before proceeding you need to have your IT Map a Network Drive to the Gorilla shared folder location. After this is done the Gorilla Directories paths need to be updated to reflect the mapped drive (IE: G:\Database\B43.mdb), then you may start the backup process again.

  5. You will be prompted on the next screen to make sure that everyone has closed Gorilla.
    • When you click next, the backup will start. Please be patient during this part of the backup process. If you are doing a Weekly Backup, it can take a few minutes to complete the backup process.

  6. Following the backup, you will be prompted as to where you would like to save your backup file.
    • If you select CD-R/W Drive, the CD burning process will start automatically. This option is rarely used anymore and it's recommended to select Other Medium.
    • If you select Other Medium, you will receive a prompt where you can select the location that you want to save your backup. Once you click OK, the backup is copied to the location you chose and a File Explorer window will appear. Please verify your backup file was copied successfully to that location.

Note: If you receive any errors about verifying Gorilla is installed, the Database does not exist at the current location, or the compressed (zipped) folder does not appear, please contact Software Support for the 64bit Backup Utility Replacement Files.
