The Nylas Integration and How to Enable It

The Nylas Integration is a service that synchronizes your G5 calendar with your Outlook Calendar.

  • The Initial Integration will sync a 90-day window (30 days in the past and 60 days into the future).
  • This takes 1 day on average, but can vary greatly, as each person's calendar is unique.
  • During the initial sync you will only see a few items sync at first, and more of them will be added as time goes on.
  • After the initial sync, each night, the 90-day window being sync'd will roll forward one day.

At the end of this document are warnings about some situations that can cause issues during the sync.

  1. Click on the User Profile icon and select User Preferences.
  2. Click on "Schedule Synchronization".

      Note:

    • If an email address has already been connected and you wish to change it, first click Disconnect. Then continue with step #2.
  3. Type the email address of the User.
  4. Click Connect.

      Note:

    • Mailboxes from Microsoft Free or family accounts are currently not supported.
    • Mailboxes from Microsoft Business or school accounts need to have a paid Microsoft Office365 license.
  5. Follow the prompts to log into your Microsoft Office 365 account.

      Note:

    • Once authentication is successful, a "Connection successful" page should appear.
    • Close this browser tab to return to CRM.
    • On occasion, either a blank screen or an "unsuccessful" message may be displayed after clicking CONNECT.
    • Despite these error messages, upon returning to CRM the email registration should succeed.
  6. You can verify that it was successful by looking at the Schedule Synchronization tab in your User Preferences.

Notes

Schedule Items have two note fields: Private Notes and Shared Notes. The Private Notes field will never be synced/sent to Outlook. The Shared Notes field will not only be synced/sent to Outlook, but it will also be sent to anyone who is sent a meeting invitation from Outlook.

Connection Issues

If you are having issues with the sync connecting and updating the calendars, check your User Preferences.

  1. If it has a Re-synchronize button it is safe to click it. This should solve the problem.
  2. If it has a Disconnect button DO NOT CLICK IT! Do not disconnect and reconnect. This will make everything on your calendar duplicate itself. Instead contact Software Support at (801) 553-9888 and let them know what is going on.

Recurring Activities

Currently Recurring Activities will not sync between calendars. This will change at a future date.

Duplication

If you have manually recreated the items between the two calendars you are about to sync onto each other, the sync will not be able to tell that those are the same items. This can result in duplicate versions of each item being placed on each calendar.

To avoid this, delete the items from one of the calendars and use the other as a master calendar. The sync will then place the items from the master calendar onto the other.

There is an Outlook setting that may help mitigate this issue. I say, “may and mitigate”, because it is not guaranteed; it is not controlled by BGM, but by Microsoft, and even it cannot entirely prevent all of the duplication. It will only prevent duplicates of meetings you did not create.

To activate this setting in Outlook:

  1. Click on File.
  2. Select Options.
  3. Select Calendar.
  4. Scroll to the bottom and click the Auto Accept/Decline button.
  5. Check the first two boxes and click OK.

If you have New Outlook, we have not yet been able to find this setting. It may not be available.

Excessive Email Reminders

When an Outlook Meeting is created, Users who are mutually in both your Outlook and your G5 will receive a notification that they have been invited to a meeting. This is a function of Outlook that BGM has no ability to affect. Some offices have a practice of adding all team members to each meeting, rather than only the team members who will be attending that meeting. That practice will cause the Nylas Integration to send such a reminder to every person on your team, for each schedule item synced.

To avoid this, only include the people who will be attending a schedule item in that schedule item.

There is an Outlook setting that may help mitigate this. I say, “may and mitigate”, because it is not guaranteed; it is not controlled by BGM, but by Microsoft, and even it cannot entirely prevent this issue.

To activate it:

  1. Click on File.
  2. Select Options.
  3. Select Advanced.
  4. Check the box for “Automatically dismiss reminders for past calendar events” in the Reminders section. Click OK.

If you have New Outlook, to access this setting:

  1. Click View.
  2. Select Calendar Settings.
  3. Select General.
  4. Select Notifications.
  5. Expand the Calendar section.
  6. Click Reminders.
  7. Toggle “Automatically dismiss reminders for past events” to the on position.
