Sending Emails in Redtail®

In the steps that immediately follow, you will create your email signature and an email template in Redtail. You will also have instructions on how to send an email in Redtail.

To create your email signature:

  1. Click on your name at the top right of Redtail.
  2. Choose Preferences’.
  3. Scroll down towards the bottom to Emails’.
  4. Leave the email client on “Use External
  5. Click the “Authorize” button and follow the process to sign into your Office 365® account. 
  6. Once you are done, the screen will refresh and take you back to the top. Scroll back down to Emails’.
  7. Fill in the Email Signature block. You can copy and paste your same signature from Outlook®.
  1. Note: If you need to adjust the size of any images, you can do so by double clicking on the image and then changing the ’width and ‘height. I find that 200 width and 67 height works best for the BGM image in our Outlook signature. 
  1. Click on Save Preferences when you are finished.

To start creating a new email template in Redtail:

  1. Click on your username at the top right of the dashboard.
  2. Select Manage Your Account‘ from the dropdown menu.
  3. Click Email Templates‘ in the center.
  4. Click New‘ at the top right of the screen that opens. 
  5. Fill in a name for your email template.
  6. Enter in a subject, then choose a category.
  7. Fill in the body of the message and check the box to include user signature. 
  8. Click on Save Email Template’.

To send an email:

  1. Run an advanced search to get the list of contacts you want to send the email toor, click on Lists>QuickLists’, and then click on the list you want to use. 
  2. Check the box at the top left of the list to check all contacts on the page. 
  3. Click the Select All Contacts to choose all of the contacts in the list, and not just that first page. 
  4. Click on Contact Options>Bulk Actions’.
  1. Note: This is available even if you have only one contact checked.
  1. Choose Broadcast Email’.
  2. Here you can choose to Create Without a Template, or you can choose the template you created earlier. 
  3. Make any adjustments that you need to make to the subject and body of the message. 
  4. Click Send Broadcast Email
