Converse is G5’s new AI Assistant. It can respond to natural language commands to create activities, input notes, schedule items, and add opportunities for you. It is designed to enable you to simply tell it what you want it to do and it does it. BGM is constantly working to add new features to it.
To use it:
- Go to the Converse workspace. You can find it in the menu on the left-hand side, the icon looks like this:
- If it is your first time going there, read the Third Party Usage Agreement, then click I Understand. You have already signed this when you signed up for G5.
- Begin typing your request the same way you would say it. For example:
“I spoke with Rita today, and she mentioned that she would like to come in for a review next week, on Tuesday at 9am.”
- Respond to any clarifying questions it asks you. Sometimes Converse may need you to clarify additional details, like dates, times, or selecting from multiple Households with a similar or same name.
Additional Notes
Date and Time
Most requests you make will need some kind of date and time. You can communicate it in a large variety of ways, for example:
- In a couple weeks at noon
- Next month
- Next Tuesday at 10 am
- Tomorrow morning
- On the 15th at 4pm
- Etc.
Descriptions and Notes
If you tell it about the subject involved in the activity, it will fill that information into the Note for the activity, then summarize what you talked about for the activity’s description.
Template
Converse will select the template that best matches what you spoke to it about. However, if you are uncertain that it will select the one you want, you can tell it to use a specific one.
Additional Features
Text-to-Speech enables Converse to speak its responses to you out loud.
- Toggle the Use Text-To-Speech button to activate or deactivate it.
- Once activated, you can select a voice for Converse to use.
Speech-to-Text is the opposite. It allows you to speak to Converse rather than type. You can use the built in speech-to-text from Windows, or your own device’s capabilities.
First enable Speech Recognition on your Device.
- Then, toggle Speech-to-Text in Converse.
- Start talking, and Converse will respond.
The Send button will send your request to Converse. You can also press Enter for the same thing.
Clear Conversation is used to wipe the conversation clean. This is important to reduce the AI’s confusion. Use it after every other request.
Resend Message allows you to send the same message again in the case of an error. Many errors are simple hiccups and can be overcome by simply sending the message again.
Thumbs Up is one of two feedback buttons. It is used to help the AI learn, and to provide feedback to the developers. Click this button when Converse did exactly what you wanted it to do.
Thumbs Down is the second feedback button.
The first time you use it you will be asked to agree or disagree to send your feedback to our Development Team. Click Agree, Submit Feedback, and it will open a window that lets you explain what the AI did wrong. It will then be sent to our Development Team so they can work on getting the AI to do what was intended. As a note, this information is secure and only shared with us.
Limitations
Converse is constantly being improved, but that does mean it has some limitations. These may get resolved in the future as we enhance the scope of what it is capable of doing. But we feel it is important for you to understand what your new assistant can and can’t do.
- Converse will currently only handle requests on the Contact level. It won’t put an activity or opportunity on a Household or Company. You can see the activities it creates in the Contact’s Household by using the Show Activities from Children button on the Household’s Activities Tab.
- Converse will not update an existing activity. This is because the exacting data security standards we will not compromise on will not allow the AI to search through your database.
- When you tell it to add a Note, it will not update the Note field of an activity, it will create the same type of Note that you can create on the Summary tab of a contact’s record. These can be viewed in the Activities tab of the Contact’s record.
- When you name a Contact, it does need to be spelled correctly, or Converse won’t be able to match the Contact to the activity. However, if you only give it the last name, it will guide you to select the right person to add to the activity.
- Converse can’t delegate activities for other Users, only for the User talking to it. You can’t use it to create an activity for another User.
- At this time Converse does not request data from the CRM. Which means you can’t ask it questions like “what do I have to do today?” Or “when was the last time I spoke with <Client Name>?”
Note:
- The AI Language Model used by Convers has its own generic error messages that we are unable to change at this time.
Regardless of what error message you see, you should take these steps, in this order:
- Try to use the Thumbs Down button to give feedback on the error.
- Take a screenshot of it.
- Contact Software Support at (801) 553-9888.
If you would like to try some additional troubleshooting steps on your own, before you contact software support:
- Refresh your browser. Try using Converse again.
- Make sure your browser is updated. Try using Converse again.
- Close your browser. Reopen it and log back into G5. Try using Converse again.
- Make sure your computer is up to date. Try using Converse again.
- Restart your computer. Try using Converse again
