How to Prepare Letters to Print First Page on Letterhead

When you prepare letters, you will get all pages of the letter for each contact that you prepare it for in one single document. The steps below will show you how you can get the first page on a separate document from the other pages to make printing on letterhead easy.

Edit the Letter Template

The first step is to edit the letter template and separate the first page from the other pages.

  1. Open the letter in Word.
  2. Delete everything from page 2 and on, so that you are left with just the first page of content.
  3. Click on File>Save As and save the letter with adding Pg 1 at the end.
    1. Example: If I wanted to edit the Black Friday Redux letter to separate the first page from the second, I would name the first page file as “Campaign-New York Wilson-November22 Black Friday Redux Pg 1”
  4. With the first page saved, open the original file again.
  5. Delete everything from the first page.
  6. You’ll notice that there is a still large gap at the top to leave room for the letterhead. To fix this, double click on the top of the letter to open the letterhead.

  7. Within the Header & Footer tab, uncheck the box for Different First Page.

  8. You should now see the header reduce down and the AddressName, LetterDate and Page # merge fields appear at the top.
  9. By default, the page number will start at 1. For a two-page letter, you can simply remove the auto-number and replace it with a 2 instead. If you have a 3-page letter or longer, it is best to remove the page number all together.
    Click on File>Save As and save the file with Pg 2 at the end of the name.
    1. Example: The Black Friday Redux letter would be named as “Campaign-New York Wilson-November22 Black Friday Redux Pg2”

Merge the Letter

Even though the first page is now separate from the other pages, you can still send all pages at one time. This only works by selecting them from your computer, rather than uploading into the Document Manager.

  1. Go to the Contacts Workspace
  2. Check all of the Households or Contacts you want to send this letter to
  3. Click Print from the top right
  4. Choose the tab for Select File from Your Computer
  5. Click the + from the right of the Add Attachment field and choose both files that you created.

  6. Click on Logging Options and check the box to Add File Names.
  7. Click Print Document from the top right
  8. Click Yes, then View My Requests.
  9. Once it is done processing, you will have two line items, one for each document.
  10. Click the View Report button for each to download the merged documents.

You can now print all of your first pages first, then other pages second.
