How to Import Contacts

Prepare the Import Spreadsheet


  1. Download the .zip file from the bottom of this article.
  2. Save the contents in a location you can easily find.
  3. Open the contact.csv file using Microsoft Excel.
  4. Enter the info for all the contacts you want to import into G5 and save the spreadsheet.
    1. First and Last names are required fields
    2. Birthdate must be filled in using MM/DD/YYYY format.
    3. Gender should be entered using Male, Female, or left blank if unknown.
    4. ContactID entered to ensure all data goes to the correct contacts.
    5. Once you have everything entered, click File>Save.

        Note:

      • The file MUST remain named as contact.csv
  5. Highlight all 4 files you removed from the .zip.
  6. Right click on the selected files and select Send To -> Compressed (zipped) folder.
  7. You can rename the .zip file to anything you want.

  Note:

  • Do not edit any of the other files. These files are used for G5 to know which columns are to go to which fields within the CRM. Editing these files will cause your import to fail.

Begin a New Import

  1. From within G5, select the Import Workspace   from the Navigation Bar on the left.
  2. Click the Import Contacts button on the top right.
  3. Select Import Contacts.
  4. Click the Select button to open a file browser. 
  5. Browse to and select the Import Package you want to import and click Open. 
  6. Enter a description and Click OK.

Verify the Information

At this point your import will have a status of "Import into Staging" and a status of "Running."

  • Refresh your browser every couple of minutes until the status changes to "waiting on user."
  • Click on the name of the Import to open it.
  • Your task in this stage is to check the name, date of birth, gender and any other information for each contact being imported and correct any mistakes.

      Note:

    • If you have a lot of contacts you are importing, you can do a few spot checks to ensure everything is going to the correct spot with the assumption that if it is correct for a few, it should be correct for all.

You can also delete individual records from the import at this stage.

Once verified, move to the next stage:

  1. Click the three-dot box in the banner.
  2. Select Submit for Matching.
  3. Leave the import while the process runs in the background. If you do not leave the import, it will never refresh when the matching is completed.
    1. If this ends up being an issue, simply refresh G5 and it will then update the status.
  4. You can either wait for G5 to pop up a notification for you, or you can refresh the browser every couple of minutes until the status changes to "waiting for user."

Review Match Results

  1. Go back into the import by clicking on the description.
  2. In the Staged Contacts table, you will have a Match column.
  3. Review this column to see if there are any items with a match.
  4. For each contact that had a match, select the Review Match Results button   found on the right side of the screen.
  5. In the Matches table, will be a list of possible matches.
    1. If any of the items are a true match, select the matching contact for the person being imported.
    2. If none of them are a true match, leave them all unselected.
    3. Click the X at the top left of the screen to go back to the staged contacts table.
  6. Select an action to perform in the Action column on that contact.
    1. Click on the action for the contact.
    2. In the pop-up screen, choose one of the following:
      1. Merge with selected match
      2. Create as a new contact
      3. Delete staged contact
    3. Click OK.
  7. Once you are done verifying all possible matches:
    1. Select the checkboxes to the left of the names.
    2. Select Process List from the top right of the table.
    3. Click OK.
    4. Click on the three dot box next to Review Match Results at the top and choose Complete Import.
    5. Click Yes.
  8. The import is now complete and you can find the new contacts from the Contacts Workspace.

      Note:

    • They will not be within any Household, you will need to click on the Contacts button to find the imported contacts.
    1. They will automatically be added to a list using the same name as your description. You can find this list by clicking on the Favorite icon ( ) then check the box for the list name.

Other Import Options

Aside from the fields within the contacts.csv file, we can also import the following:

  • Custom Fields
  • Categories
  • Tier (importing this will not automatically assign the service level)
