How to Fix Letter Missing from Document Manager

PROBLEM

  • When importing a letter, Gorilla gives the message "A file with the name "Lettername.ONE" already exists. Please rename the file you are trying to import or delete the existing document via Gorilla.", but the letter is missing from the Document Manager.

CAUSE

This problem usually occurs when something interrupts the import process for a letter. When this happens, a copy of the letter is stored in the Letters folder but the information concerning that letter was not stored in the database. So when trying to recreate the letter, Gorilla sees the one already in the Letters folder and reports that the file already exists.

SOLUTION

There are two possible solutions for this:
  1. Renaming the Letter:
    • To rename the letter, locate the letter file in "File Explorer" then right-click the file and choose the "rename" menu option. Enter a new name for the file. Do not change the extension (.ONE or .TWO); changing this will prevent Gorilla from importing the Letter. Import/install the Letter as usual. Open the Document Manager and verify the letter imported successfully.
  2. Deleting the Letter:
    • Locate the letter file in the Letters folder in "File Explorer". Delete the file by selecting it and pressing Delete on your keyboard. You may also right-click and choose the "delete" menu option, or click on the red "X" for delete in the menu bar. Make sure you’re deleting the appropriate letter file. If there are singular and plural versions of the letter in the Letters folder, both of them will need to be deleted. Import/install the letter as usual. Open the Document Manger and verify the letter imported successfully.
