How to Download and Import a Campaign in Gorilla® 4.x

ANSWER

Before you’re able to run a campaign, you’ll first need to import it to your database. There are several steps in this process: downloading, unzipping the file, and importing into your database. Instructions for each step are given below.

Downloading the Campaign

  1. From the Client Portal webpage, open the Campaign Center from the Content Library drop down menu.

  2. Scroll down and click on the name of the campaign you want to download.

  3. Click the Start the Campaign button to be taken to the files for download or scroll to the bottom of the page.

  4. Choose the version of the campaign that is appropriate for your version of Gorilla. If you aren’t sure what version of Gorilla you have, you can go to Help>About in Gorilla and it will be listed there.

NOTE: By default, the file will save to your Downloads folder.

  1. Continue with the instructions below to unzip the file.

Unzipping a File

  1. On your computer desktop, right click on “Start” and then choose “File Explorer” before browsing to your Downloads folder.
  2. Right click on the file you just downloaded and choose “Extract All.”
  3. Click “Browse” to choose a location for the extracted file.

    It’s important to know exactly where your extracted file is.  If you can’t find the file, you will not be able to import the file into Gorilla. We recommend that you choose your desktop. Once you’ve chosen a location, uncheck the “Show extracted files” box and then click “Extract.”  You will be brought back to the File Explorer screen. You can close this window as it is no longer needed.

Importing a Campaign

  1. Make sure that everyone is logged out of Gorilla, the system can’t import if someone is using your database.
  2. Click on “Start” and scroll down until you find BGM – Gorilla CRM System for Financial Services, then choose “Import Utility” within there.
  3. From the Gorilla Import Wizard, you can choose to either import normally or to import into Playground. Make sure that you are importing to the correct database. Next, choose the file you want to import by clicking on the button with the ellipse (three dots) on it.

  4. Specify the location of the unzipped campaign file.  If you followed the previous steps, it will be on your desktop.  Once you’ve located the file, click “Open.” Once you click “Open,” you’ll be returned to the previous screen.  Click “Next.”  This may take a moment for the computer to process.

  5. From the “Match Staff Groups” screen you can assign staff members to specific roles in the campaign. You can also change these assignments through the Campaign Wizard. NOTE: For some campaigns, it may be normal for there not to be any drop downs to assign staff groups. Click “Next.”

  6. The “Fix Duplicates” screen is used to prevent re-importing documents that you already have in your system. You can choose to either re-import or use existing. Typically, we recommend to click the “Select All” button and not re-import an item. Click “Next.”

  7. Click “Finish” and wait for the campaign to import. If you would like to, you can choose to print or save the Gorilla database report after the campaign has been imported. The report will show you all the files that were imported into your database. Click “Close” to finish the import.

You can now go back into the Gorilla program and run your new campaign.
