How to Create or Customize a Rule

A Rule is an automatic process that says “When X thing happens in G5, Y action will automatically be performed.”

These instructions will show you how to make a rule that says “When a Product Opportunity is marked complete, automatically start the Red Carpet Activity Plan.”

To Open the Rules Management workspace:

  1. Go to the Customize workspace
  2. Go to the Rules tab
  3. Click Manage Rules

A new tab will open. This is where Rules are created and managed.

Create a New Rule

  1. Click Add Rule
  2. Select Product Opportunity as the Area of G5 you want the rule to affect.
  3. Name the Rule Product Opportunity Red Carpet
  4. Type the Description “Starts the Red Carpet process when a prospect's opportunity is won.”
  5. Select Evaluate On Modification Only
  6. Click Okay

Customize a Rule

  1. Select the Rule you want to customize.

Add Criteria to a Rule

Criteria tells the Rule when it should take effect.

The Criteria you will add below will activate the Rule we are making whenever an opportunity is set to Closed Won.

  1. Click Edit in the Criteria box to open it for Editing

  2. Click Add , then click Select
  3. Click Product Opportunity then Stage . Then click Okay .
  4. Set the Condition field to Equals
  5. Set the Value field to Closed – Won

Add an Action to the Rule

Actions are the thing the rule will do automatically when the criteria is met.

When the criteria you added above is met, the action you create below will start the Red Carpet Activity Plan on the household in the opportunity.

  1. Click Add
  2. Select Create Activity Plan from the list of Actions to Open a new window.

  3. Select the Template Red Carpet-New Client Cash
  4. Set the Due Date to Create Date
  5. Assign Activity Plan to Current User Invoking Action
  6. Set the For Contact list to Contact Specified in the For field of the triggering object and set the dropdown to For Contact/Company . Don’t worry, that includes households too.
  7. Click Okay to finish adding the Activity plan as an Action.

Add Additional Criteria

At this point the rule is finished and will work.

However, you might find that you want to add additional Criteria or Actions to the rule.

For example, you might want to make this rule only activate on households that aren’t clients:

Return to the Criteria box of the Rule, and:

  1. Click Edit
  2. Click Add
  3. Set the new field at the end of the first criteria to And
  4. Click Select on the new line of Criteria
  5. Click Product Opportunity , then For Contact/Company , then Status .. Then click Okay.

      Note:

    • There are two Status options listed, so it is important that you select the correct one.
    • The Status option that you need to select will be located further down list under Email Description.
  6. Check the Not box, and set the Condition to Equals
  7. Select Client from the Value field drop down.
  8. Click Okay when finished.

Add Additional Actions

You might also want to add additional actions to the rule.

For example, if you are starting the Red Carpet Process, that means a prospect is becoming a client. So why not make the prospect’s status field update to client automatically, so you don’t have to remember to do it?

Return to the Actions box of the Rule, and:

  1. Click Add
  2. Select Update Field
  3. Set the Description to Status Update: Prospect to Client
  4. Click Select in the Set Value Of field
  5. Click Product Opportunity , then For Contact/Company , then Status .. Then click Okay.

      Note:

    • Just as before, be sure to select the Status option that is below Email Description
  6. Select Client from the To field drop down.
  7. Click Okay when finished.
