How to Create a Message Queue in G5

G5 doesn’t really need a message queue. Letters are either done as a large batch mailing or are part of a task that will show up on your task list.

However, it may be useful to separate out and view just the scheduled mailings that need to be done.

There are two ways to do this:

Home Workspace

See all of them, regardless of user they are assigned to.

You can’t print them from this list, you would have to open the record and print them from the activities tab there.

Task Workspace

You can print them directly from this list.

You can only see ones assigned to a single user at a time. You would need to switch to each user one at a time to see them all. Or each user could simply handle their own message queue.


Home Workspace

Create and save the Filter on the Home Workspace.

  1. Choose the My Contacts’ Recent Activities tab.
  2. Set the Status filter chip:
    1. Set the operand to Not Equals.
    2. Check the Cancelled and Completed options and Apply.
  3. Set the Template filter chip:
    1. Set the operand to Equals.
    2. Check Drip Letter and Print Document.
  4. Set the columns to show who each message is for.
    1. Click the Select Columns button at the Top Right of the list.
    2. Uncheck Last Updated By and Reminder.
    3. Check For and Assign To.
    4. Use Manage Selection to change the order of the columns to best suit you.
  5. Save the Filter.

    1. Name it Message Queue.

  1. Click on the name in the For field to open that person’s record.
  2. Go to the Activities tab in the banner. Find the Task in the list.
  3. Hover the mouse over the task and click the 3-dot button to the right of it.
  4. Select Print to open a letter set-up screen. From this point the process is the same as sending any other letter.

Task Workspace

Create and save the Filter on the Task Workspace.

  1. Set the Status filter chip:
    1. Set the operand to Not Equals.
    2. Check the Cancelled and Completed options.
  2. Set the Template filter chip:
    1. Check Drip Letter and Print Document.
  3. Save the Filter.

    1. Name it Message Queue.
