How to Create a Message Log for Compliance

Many of our advisors are required to send a message log to compliance whenever they set up a mass mailing. Currently, G5 does not automatically create a message log for these situations, however, you can use the Reports Workspace to create one.

The instructions below will show you how to create the necessary reports for both printed letters and emailed messages.

Message Log for Printed Letters

  1. Go to the Reports Workspace.

  2. Click on the Add Report button from the top right of the data table.

  3. Choose Activities from the left, then choose Blank Activities Report from the right.

  4. Click the Add button under the Fields section and add the fields below. Click Ok when finished.

    • For
    • For>Preferred Address
    • Notes
    • Author
  5. Click the Select button for the Filters section and add the fields below. Click Ok when finished.

    • Create Time with an operator of Equals Today

    • Template (ID) with a value of Print Document

        Note:

      • It may be easier to type in Print Document in the search field in order to select it.
  6. Click OK
  7. Save report as “Message Log for Printed Letters”

Message Log for Emailed Messages

  1. Go to the Reports Workspace.

  4. Click the Add button under the Fields section and add the fields below. Click Ok when finished.

    • For>Default Email Address
    • Notes
    • Author
  5. Click the add button for the Filters section and add the fields below. Click Ok when finished.

    • Create Time with an operator of Equals Today

    • Template (ID) with a value of Email

        Note:

      • There are two templates named Email. To ensure there are no issues in capturing all email messages, select both of those options.
  6. Save report as “Message Log for Emailed Messages”

Now that you have your message logs created in the Reports Workspace, whenever you send out a mass message, simply go the required report and export to CSV.
